Eligible List Disclosure - Glossary of Terms

Information Eligible List: A list consisting of final examination results for those candidates successful in the examination process. Lists shall be available for inspection for 30 calendar days after the conclusion of the examination. Lists will include candidate identification number (unless there are 1000 or more names), purge/expiration date, rank and score (if the list is merged). Lists with over 1000 names will be summarized to show the number of candidates by rank and score.

Date: Date eligible list was last updated.

Department: Agency/department for which the list was established, code 7500 is for use by all State departments.

Classification: Title of the job classification for which the eligible list was established.

List Life: List life will only be displayed for dated lists. The list life is the number of months for which the list was established.

List Date: The date the list was created.

Class ID: Identification number unique to the job classification.

PROM DEPT: Indicates list created from a test given on a departmental promotional basis, for State of California civil service employees who have competed and were successful in an examination for promotional opportunities.

List Type: Designates the type of list, open or promotional. Promotional lists are comprised of State employees. Open lists are comprised of State employees and individuals who are non-State employees.

Cert Rule: The certification rule controls the rank or ranks from which the hire must be made.

Number on the list: The number of eligibles on the eligibility list.

Candidate ID: A unique 6-digit number assigned to a candidate. This number will appear on the candidate's results notice.

Expiration Date: The date that an individual's eligibility on a merged list expires and the eligible's name is removed from the list.

Rank: The relative position on the eligibility list.

Score: Percentage of points earned in the examination.

Candidate Counts: Number of eligibles in a rank.

Indefinite List Life: Indefinite list life means that a dated eligible list, or the names of eligibles on a merged list, have been extended beyond the normal maximum list life of 48 months if certain conditions are met. When a dated list or the names of eligibles on a merged list are extended indefinitely, it means the names of eligibles will remain on the list forever, or until such time as the department determines that the list is no longer meeting their needs and abolishes the list. If the department decides to give a new examination, you must take and pass the new examination in order to establish eligibility on the new list. The testing department may or may not notify you of the abolishment of the old list or the new examination. Visit Exam Bulletins for announcements regarding new examinations.

Servicewide Lists: Eligible lists that can be used by any department.

Merged List: A merged list results when an examination is administered on a continuous or frequent basis. Eligibles who take and pass an examination on different dates (meaning they take the test in a subsequent examination administration at a later date) have their names merged onto the list with different effective and expiration dates. Thus, while the merged list itself never expires, the eligibles do, according to their expiration date. Eligibles are merged onto the list and ranked according to their final test score. Names of eligibles remain on the list for the same amount of time and have the same length of eligibility regardless of when their name was merged onto the list.
